Less scheduling back-and-forth

A request starts the conversation.
Your approval makes the appointment.

  1. The homeowner requests

An invited homeowner asks for service, a reschedule or a cancellation. Their preference stays attached to the request.

  2. See suggested times

YardhandAI checks your saved schedule and shows available technicians. Past visits and workload help explain which match fits.

  3. AI drafts the reply

YardhandAI prepares the homeowner response from your selected appointment details. Edit the wording so it sounds right to you.

  4. You confirm the visit

Availability is rechecked. The calendar updates and the homeowner sees the decision and response in their request.

One company. More than one available slot.

Make room for the whole crew.

A busy technician doesn’t mean the whole company is booked. Availability is checked for each active technician, so two crew members can work at different properties at the same time.

See why a technician fits.A familiar technician and a time the homeowner asked for can make the choice easier. YardhandAI shows the reason beside the suggestion.

Recorded availability

Company hours, technician shifts, existing visits, configured service requirements and time off inform available options.

Customer familiarity

Completed visits at the property or for the homeowner help rank technicians alongside timing and the rest of the day.

Let AI start the homeowner reply

YardhandAI drafts the wording using the request and selected appointment details. Review it, edit it or write your own before confirming.

The homeowner knows where things stand

Requested.
Reviewed.
Confirmed.

A preferred time is a request, not a promise. Homeowners can see when their landscape company has reviewed it, along with the confirmed appointment and company response.

The planned customer experience brings visit timing, service reports, property details and company conversations into the web portal, with a native app release to follow.

Useful defaults. Optional details.

Start with your actual working day.

Confirm the basics first. You can refine qualifications, service durations and time off as the schedule grows.

  1. 01
Check hours, duration and travel allowance

Defaults are a starting point. Confirm they reflect your company’s work and timezone.

  2. 02
    Add technicians and existing commitments

Each scheduling resource has availability. Inviting staff to sign in is a separate company-controlled step.

  3. 03
    Invite homeowners and review requests

Turn on AI reply assistance where homeowner settings allow it. Review suggested times and the reply before approving.

Practical answers

How the planned scheduling workflow works.

What does YardhandAI help me do?

Bring a homeowner request to one place where you can compare suggested times and available technicians, then review an AI-drafted response. YardhandAI checks the schedule you have recorded; its AI prepares the wording from the selected appointment details. You can change the choice or the reply before approving the visit.

Is this page a real company calendar?

This is a public product demonstration with fictional data. Production setup for the landscape workflow is in progress. Nothing you try in the public demo creates an appointment or contacts a customer.

What makes one appointment a better match?

YardhandAI checks recorded working hours, appointments, service requirements and time off, then ranks available options using the homeowner’s requested timing, technician continuity, completed service history and workload. The reason is shown beside the option; your team makes the final choice.

What if we haven’t entered technician time off or service history?

You can start with company hours, an active technician and service defaults. Missing optional time-off or history records do not prevent suggestions. Keep your existing commitments current and review the available options; missing details are not proof that someone is available.

Does the AI know all the calendars we already use?

The planned workflow uses the schedule recorded in YardhandAI. Google, Outlook, Apple and other outside calendar syncing are not connected. Add your outside commitments before using YardhandAI to confirm visits.

How is travel time handled?

Set a fixed travel allowance and preparation buffer between visits. Same-property visits can avoid the driving allowance while retaining the preparation buffer. This is not a live traffic estimate or route optimization service.

Does the homeowner response send an email or text?

The reviewed appointment response is saved with the homeowner’s Calendar request after confirmation. It does not itself send an email, carrier SMS or conversation message. Your other customer conversations keep their own reply and delivery controls.

Does a suggested time reserve the technician?

No. Suggestions are tentative. YardhandAI rechecks the assigned technician’s availability when you approve; if the time is no longer available, choose another option.

Can I schedule recurring visits or appointment reminders?

Staff can create a finite series of weekly, 2-week or 4-week visits, with 2–52 appointments checked before the series is saved. Automatic route generation, route optimization and timed appointment reminders are outside the planned scope. Changes to an existing series are made one visit at a time.
